Gmail Integration

Connect Gmail to send automated follow-up, confirmation, and lead-capture emails from your own business address after every call.

Setup

Navigate to Agent Setup → Integrations → Gmail, click Connect Gmail, sign in with your Google account, and grant the requested permissions (send emails on your behalf, view your email address). No passwords are stored, authentication uses OAuth 2.0.

Once connected, configure your sender settings (the "From" name and reply-to address) and choose which auto-emails to enable: follow-up after every call, booking confirmations, and/or lead-capture notifications.

Email templates

Create templates for each scenario. Use template variables to personalise automatically:

tip

Use your own domain email (e.g. info@yourbusiness.com) rather than a generic @gmail.com address. It looks more professional and is less likely to trigger spam filters.

Testing

Make a test call and provide an email address when prompted. Verify the email arrives, variables are replaced correctly, and it lands in the inbox rather than spam.

Troubleshooting

Emails not sending

Verify Gmail shows a green "Connected" status in the integrations panel. Confirm the caller provided an email address during the call. Check the email logs in your dashboard and make sure templates are saved.

Emails going to spam

Use your own domain email, avoid spam-trigger words in templates, keep content relevant and personalised, and add an unsubscribe line if you're sending marketing-style follow-ups.

Wrong information in emails

Check that variable names in your template match the list above exactly. Verify the agent is capturing the right data by reviewing the call transcript.

Disconnecting

Go to Agent Setup → Integrations, find Gmail, and click Disconnect. To fully revoke access, visit Google Account Security, find OnCallClerk, and click Remove Access.
